The Human Resources Coordinator will be responsible for timely and accurate filing of confidential employee documents, paper and electronic, in accordance with Firm policies. The Coordinator will provide daily assistance and support to the HR Systems and Benefits teams. This position will report to the Manager of Human Resources Systems.
Collaboration with team members is an important component of any role at Mintz. Therefore, the firm encourages working from the office approximately 60% of the time in accordance with the firm’s published guidelines.
Absent an exemption required by law, each Mintz employee is required to be fully vaccinated against COVID-19.
Maintain all employee files adhering to record retention regulations and Firm policies. Ensure timely and accurate filing of documents for easy retrieval. Coordinate off-site storage of HR files with Records Center and update the iManage Records Manager system.
Assist with verifications of employment administration.
Retain required inventory levels of Benefit information packages and coordinate mailings.
Support HR Systems team with Dayforce HCM data entry as needed.
Prepare, format, and maintain spreadsheets and logs.
Update the HR and Benefits pages on the Firm’s intranet.
Work in collaboration with Human Resources team members on initiative to move from paper files to electronic.
Provide quality client service by communicating professionally to internal and external inquiries.
Coordinate work with other departments, such as Records Center, Finance, and Office Services to facilitate the highest possible level of service.
Proactively participate in training opportunities to advance skill levels and efficiency in firm software.
Regular attendance in the office during the scheduled hours for the role.
Elevate the department’s profile in all professional interactions.
Assume additional responsibilities as requested.
Bachelor’s degree preferred.
1+ years of administrative experience preferably of a confidential nature.
Ability to handle confidential matters with discretion.
Possess excellent written and verbal communication skills.
Strong organizational skills, excellent attention to detail, and ability to meet deadlines.
Technologically literate with strong computer skills to include Microsoft Excel and Outlook.
Familiarity with HRIS systems, Ceridian Dayforce HCM a plus.
Demonstrated ability to professionally interact and collaborate with colleagues at all levels.
Ability to work independently and as part of a team.
Enthusiastic, proactive, and positive attitude.
Must be self-motivated to produce quality work.
High level of integrity and honesty.
Flexibility to work overtime when necessary.
