The Basic Sciences Division is one of five scientific Divisions at Fred Hutch and is comprised of 30 faculty-led laboratories. The Division is recruiting for a Research Administrator I or II to join our team. This position will be one of a team of 10 RAs supporting the Division’s faculty. The RA Team supports the research of scientists that are focused on understanding the normal molecular functioning of cells as well as the disruption that causes complex diseases like cancer and HIV infection.
The Research Administrator I level is a great fit for someone who has some administrative support experience, is familiar with the research process, and is looking for a rewarding career supporting research. The RA 1 is the entry level position in the job family for those learning how to provide research administration and therefore works under direction to complete tasks that transcend general administrative support.
The Research Administrator II proactively provides compliant and effective funding support, budget and regulatory administration and general administrative support for faculty members and their labs. This level of RA has at least two years of experience as a research administrator preferably with principal investigators in a research institution, and carries out higher level portfolio analyses and post award issue issue resolution.
The RA role requires excellent administrative skills, a customer service orientation, an attention to detail, strong communication skills, and collaboration with colleagues and external partners. This role will have the opportunity to work partially at our campus and remotely.
Budget & Fiscal Support
- Develop, monitor and track simple or basic budgets
- Run standard reports to support budget management
- Gather and enter receipts and other documentation into relevant systems and tools to support monitoring of expenses against budgets
Funding Source Administration
- Conduct the clerical aspects of pre and post award activities as directed, such as gathering documents, assisting with completion of content, acquiring signatures and formatting content to adhere to submission guidelines
- Coordinate the adherence to submission timelines to ensure that deadlines are not missed
- Complete forms and other documentation as directed to ensure compliance
- Execute administrative tasks as directed in support of a department or individual. Example responsibilities include:Calendar and travel coordination
- Editing and tracking content for presentations, CVs, bio sketches, and publications
- Time keeping and other personnel administration support
- Provide general department support such as purchasing, account reconciliation
- Maintenance of supplies and equipment
- Event support (ex., catering ordering, room reservations, onsite assistance at event)
- Facility support (work order request coordination, tracking)
- Develop, monitor, track and project complex multivariable budgets
- Develop custom report formats to share information with the team/department
- Run and analyze reports to identify issues
- Approve budgets and expenses following applicable rules and regulations
- Work with central administration partners to resolve identified budget and expense issues
Funding Source Administration
- Lead the grant submission process by conducting key tasks such as: creation and communication of timelines to appropriate stakeholders, completion of non-technical portions of submission, and oversight of institutional signoff
- Perform key post award activities such as: interpreting the notice of award, flagging unique aspects or budget adjustments and monitoring and adjusting the teams’ commitments across the portfolio of projects based on awards
- Interpret Notices of Award with support of colleagues in the Office of Sponsored Research and/or Finance
- Manage renewal timelines and ensure completion of regulatory documents in a timely manner
- Identify necessary regulatory components of submissions, confirm that required items are in place and escalate issues as needed
- Determine impact of and develop implementation plans in response to applicable regulatory changes and/or revisions to Center policies and procedures
- May serve as a central point of contact to answer questions, escalating issues as needed
- Complete key administrative tasks such as travel coordination, editing CVs and publications, purchasing and maintenance of supplies and equipment
- Identify administrative issues for discussion with team and leadership
- May manage projects including occasional event planning and management
- May act as a resource for other staff
- May assist in the training and development of team members

- Required Experience: High School degree or equivalent required
- Research Administrator I minimum requirements: A high school diploma (or equivalent) and relevant administrative experience
- Research Administrator II minimum requirements: Two years of relevant administrative support experience, with pre- and post award grant support
- Preferred Experience: Bachelor’s degree
- RA I preferred: an understanding of the general laboratory research process and/or some experience working in, or in support of, a lab or scientist at an academic or non-profit organization
- RA II preferred experience: 4 years of relevant research administrative experience is preferred; Certified Research Administrator
- Advanced proficiency with Microsoft Office suite including Teams, Adobe Acrobat
- Demonstratable experience and knowledge using Excel –for example, using formulas, calculating values in multi-step processes, preparing account reports, and working with pivot tables
- Basic understanding of accounting and terminology. Experience managing accounts, account reconciliation, account reporting, etc.)
- Excellent written and oral communicator
- High attention to detail
- Demonstratable experience with successful planning, organizing, and prioritizing your work

Preferred Experience and Knowledge
- Federal grant management experience, preferably with the National Institutes of Health
- Knowledge of Uniform Guidance and government funding rules
- Experience supporting lab-based research
- Knowledge of relevant regulatory guidelines such as compliance with Institutional Review Board processes for human subject and animal use, handling etiologic materials or recombinant DNA, etc.
- Working knowledge of Fred Hutch policies and procedures
